You know what the four statuses mean, what a lock stops, who can unlock it and how to keep the version you sent.
A status is a label that says which stage a budget, a financing plan or a cost control set has reached. A lock is a separate setting: it makes the budget or plan read-only for everyone until someone unlocks it.
| Status | Usually means | | ------------ | --------------------------------------- | | **Final** | The budget is complete | | **Working** | Work on the budget continues | | **Snapshot** | The budget is a copy that keeps a state | | **Archived** | The budget is no longer in use |
KOSMA does not act on **Final**, **Working** or **Archived**: a **Final** budget can still be edited, printed and shared. Only a lock stops editing. The status of a financing source in Financing (**Pending**, **Submitted** or **Confirmed**) is a different thing; see [what the source status means](/kb/article/what-the-source-status-means).
Every new budget, financing plan and cost control set is **Working**, and so is everything that never had a status, such as everything in the demo project. The budget, each financing plan and each cost control set has its own status. KOSMA saves the status with the budget, so everyone who opens it sees the same status.
A cash flow plan has no status of its own. Its left rail shows the status of its budget or cost control set, and the status of its financing plan.
**Lock** makes one budget, financing plan or cost control set read-only for everyone: nobody can change its content until someone unlocks it. On a locked budget, you can still change the status, unlock it, choose **Print…** or **Export Data** and make a copy with **Copy Budget**. Locking a budget does not lock its financing plans or cost control sets, and locking a plan does not lock the budget.
When a budget or plan is locked, the left rail and its entry in the dropdown in which you choose it show . In the **Budgets Manager**, the **Status** column shows it for every budget on this computer locked with **Lock**. When you point at the icon, KOSMA shows:
This dataset is locked. Unlock it to make changes.
Click the icon to open **Locked**, where you can unlock the budget. Anyone who can edit the budget can unlock it, so a lock protects the budget from accidental changes only. Everyone who opens the budget sees the same lock.
When someone makes a cost control set from a budget, KOSMA locks the budget. The same appears, and when you point at it, KOSMA shows:
This budget is locked because it is linked to a Cost Control set. To make changes, create a copy.
Click the icon to open **Locked Budget**, with **Copy** and **Unlock for Correction**. What each one does is in [how a cost control set relates to a budget](/kb/article/how-a-cost-control-set-relates-to-a-budget). If someone also locked such a budget with **Lock**, the icon, the message and the dialog mention only the cost control set. **Lock** and **Unlock** then change nothing you can see until you use **Unlock for Correction** or the budget is no longer linked. **Unlock for Correction** does not remove a lock set with **Lock**.
If a budget is shared and another person is editing it, the same appears. When you point at it, KOSMA shows:
This budget is being edited by {name}. You can make changes when they are done.
Until that person is done, you can read, print and export the budget, but you cannot edit it or change its status or lock.
A budget is also read-only when your licence does not cover the module, when you are signed out, or when it was shared with you at **Can view**. KOSMA then shows instead of the lock icon. When you point at it, KOSMA shows the reason. See [what your licence includes](/kb/article/what-your-licence-includes).
KOSMA keeps no older versions of a budget. To keep the version you sent, for example to a funder, keep it as a budget of its own. There are two ways:
- Keep working in the budget, and make a copy of the kind **Snapshot** as the record. The copy keeps the same people, and KOSMA sets the budget, its financing plans and its cost control sets in the copy to **Snapshot**. - Set the budget to **Final** and lock it, then make a **New version**. A new version keeps the statuses the budget had.
To make either copy, open the budget in Budgeting and choose **Copy Budget** in the **Project** menu. The steps are in [duplicate a budget for comparison](/kb/article/duplicate-a-budget-for-comparison).
You set the status and the lock under **Status:** in the left rail of Budgeting, Financing and Cost Control. The steps are in [change the status of a dataset](/kb/article/change-the-status-of-a-dataset).
