You can see who changed what in a budget and the plans in its file, and revert a change.
History lists who changed what in a budget and in its financing plans, cash flow plans and cost control sets. You can revert a change from there. The budget must be on the server.
Choose **View** > **History…**. KOSMA opens History. Its title names the budget.
Read the list, or choose one budget, plan or cost control set in the dropdown next to the title. **All** shows all of them, and History starts at **All** each time you open it.
KOSMA lists each change as an entry under the budget, plan or cost control set it belongs to. The budget comes first, then the financing plans, cash flow plans and cost control sets. Under each, the newest entry comes first.
| Column | Shows | | ----------- | -------------------------------------------------------------------------------------------------------------------- | | **When** | the date and time of the change, in your computer's date format | | **Who** | the person who made the change | | **Changes** | the row's number and name, such as 1001 Director, then the field with its old and new value, such as Quantity: 2 → 3 |
If one change set several fields, they follow one another, separated by a middle dot (·). An added or deleted row shows the row's number and name, for example 1001 Director added.
A change to an attached file shows the row's number and name, then for example Attachment added: Contract.pdf. The other entries read Attachment removed, Attachment replaced and Attachment renamed. Click the file name to open the file, also after it was removed. In the KOSMA app, the file opens in the program your computer uses for that type of file (**Open in the default app**). In KOSMA in the browser, it opens in a new tab (**Open in a new tab**). In an Attachment replaced entry, the name and the link are those of the old file, the one that was replaced.
History shows recent changes only: those of the last five work sessions on the budget and its plans. A work session ends when no change has reached the server for 15 minutes. Older changes no longer appear, so **Budget created**, the first change of a budget, appears only as long as it belongs to these sessions.
You see the changes of a financing plan, cash flow plan or cost control set only if you see Financing, Cash Flow or Cost Control in the project. The project owner sets this for each person, see [who can do what in a project](/kb/article/who-can-do-what-in-a-project).
While History is open, new changes appear by themselves. If there is nothing to show, History reads:
No changes yet.
Click **Revert this change** in the entry of the change. KOSMA asks **Revert {name}'s change?** and explains:
Revert Anna's change? Budget on 1.01 Screenplay goes back from 45,000.00 EUR to 40,000.00 EUR. Anna will see that you reverted it. \[Cancel] \[Revert]
Click **Revert**. KOSMA sets the value back and adds a new change at the top of the list. It reads **Reverted {name}'s change · {change}**: the person whose change you reverted, then what the revert set back. The original entry stays and shows **Reverted by {name}**, here with your name. Everyone who works in the budget sees the revert. To take your revert back, press ⌘Z (Ctrl+Z on Windows), as for any edit of yours, or revert the new entry in History. Both bring back the value of the original change.
If someone changed the same field after that change, KOSMA tells you before you revert, and the revert replaces the newer value:
Revert Anna's change? Budget on 1.01 Screenplay is 48,000.00 EUR now, not 45,000.00 EUR. Revert will replace 48,000.00 EUR with 40,000.00 EUR. Anna will see that you reverted it. \[Cancel] \[Revert]
A change that is not about one field, such as an added or deleted row or rows pasted in one go, is named as History lists it:
Revert Anna's change? 1.03 Script Development added. Anna will see that you reverted it. \[Cancel] \[Revert]
Reverting the adding of rows deletes them. If someone changed one of them since, KOSMA asks first and names the row that the revert deletes:
Revert Anna's change? Ben changed 2.01 Lead Actor 1 since. Revert will delete it. \[Cancel] \[Revert]
If the change set several fields, the confirmation names only the first, and KOSMA sets all of them back. If a field already has its earlier value back, KOSMA leaves it as it is.
**If History… is greyed out.** The budget has not reached the server yet, or it is in the demo project. To see whether your work reached the server, see [how your work is saved and synced](how-your-work-is-saved-and-synced.md#see-whether-your-work-reached-the-server).
Point at the button to see why. If the budget you opened History from is locked, the button names the lock, see [why a budget is locked when nobody locked it](what-status-and-lock-mean.md#why-a-budget-is-locked-when-nobody-locked-it). Otherwise it reads:
This change can't be reverted
KOSMA cannot set this change back: either it did not record exactly what the change did, or the change deleted rows that KOSMA cannot bring back completely. A deletion is such a case if it also changed or removed other rows, or if it was made with an older version of KOSMA. Instead, make the opposite change yourself: enter the earlier value again, or add the deleted rows again.
Adding, removing, replacing or renaming a file can be reverted. Other changes to attachments, such as booking an invoice with its file or importing cost items, can't be reverted yet. The button then reads:
Attachments can't be reverted yet
Usually, someone else has since deleted the row that the change was made in. The revert then leaves everything as it is, and KOSMA shows:
This change can't be undone any more, because changes from others arrived after it.
KOSMA reads History from the server. Without a connection, History shows:
History could not be loaded.
Check your connection and open History again.
