Budgeting
You can save a cash flow rule as a preset and apply it to other lines in one step, in the dialog or from the account details.
A preset saves a cash flow rule under a name, so you can apply it to other lines instead of entering the same rule again. You need a licence that lets you edit the budget.
Open **Set Cash Flow Rule** on an account and enter the rule you want to reuse, as described in [set a cash flow rule on an account](/kb/article/set-a-cashflow-rule-on-an-account). The preset stores the whole rule: the choice under **Based on:**, the milestone and date rows with their values, and the payment cycle with its phase, start and end.
In **Set Cash Flow Rule**, open **Select Preset...** and choose **Save as Preset**. KOSMA saves the rule as it stands and opens **Presets**, with the name **New Preset** ready to edit. If that name is taken, KOSMA adds a number: New Preset 1, New Preset 2 and so on. Type a name and click **Ok**. To discard the new preset, click **Cancel** instead.
The **Select cycle...** list in the **Payment cycle** row is a different field. It sets only the interval of the cycle.
You can keep up to ten presets in a budget. When there are ten, **Save as Preset** stays in the list, greyed out, with this hint:
Limit of 10 reached — delete a preset to free a slot.
Open **Set Cash Flow Rule** on another account, subaccount or markup, open **Select Preset...** and choose the preset. KOSMA replaces the rule with the preset, including the choice under **Based on:**, and marks the rule with the preset's name. Click **Ok**.
One list of presets serves all accounts, subaccounts and markups of the budget. A preset refers to the budget's milestones and phases, not to names, so KOSMA shows no mismatch message when you apply it to another account. A financing plan and a cost control set each keep their own list.
A preset stores amounts as amounts. On a line with a different total, they no longer add up to 100%. The value fields turn red, and **Ok** stays greyed out until you correct them. A preset built from percentages fits any total.
To remove the preset's name from the rule, choose **-- No Preset --**. The rows of the rule stay. To empty the rule, click **Reset**.
In the account details, point at the header of the **Cashflow** panel and click  **Apply Preset**. KOSMA shows **Cash Flow Rule Presets**, with a checkbox for each preset.
Ticking a preset replaces the line's rule at once. On an account with subaccounts, it replaces the rule of every subaccount. KOSMA does not ask and does not check the values.
Tick a preset to apply it. If the line has no rule yet, KOSMA creates one. Untick the preset to remove its name from the rule; the rows stay.
While a rule carries a preset's name, the **Cashflow** panel shows it as one row with , the preset's name and the rule's total. Point at the row to see the rows of the preset. If the preset holds amounts and the line has a different total, the rule is invalid, and the panel shows no rows for it. Click  **Edit cashflow rule** and correct the values in the dialog.
Once the budget has a preset, **Select Preset...** also lists **Edit Presets**. Open **Select Preset...** in **Set Cash Flow Rule** and choose **Edit Presets**. KOSMA opens **Presets**. Change a name in the **Name** column. Names must be unique and can be up to 50 characters long; the field accepts no more. Drag a row up or down to change the order.
When you delete a preset, the rules that used it keep their rows and lose only the preset's name. To delete a preset, click  **Delete preset** in its row. KOSMA asks for confirmation and names the preset:
Delete preset "Weekly during shoot"?
Click **Delete**. When you are done in **Presets**, click **Ok**.
**When you change a rule or a preset.** If you change a rule after you applied a preset to it, KOSMA removes the preset's name from the rule, and your change stays. If you change a preset later, the rules you already applied it to stay as they are. To give them the changed preset, apply it to each line again.
**If the account details offer no presets.** KOSMA shows  **Apply Preset** only when the budget has at least one preset and you can edit the budget. You cannot edit it on a Free licence, in a budget shared with you without editing access, in a budget linked to a cost control set, or when you are signed out. In these cases, you cannot open **Set Cash Flow Rule** either. A rule that already carries a preset's name still shows as one row.
