First Steps
You can add a seat to your team, change the plan of a seat and remove a person from the team.
As the team admin, you change the seats of your team on the **Team** tab of your customer area on the KOSMA website. Once you have paid for a team licence, KOSMA opens the **Team** tab when you open your customer area (see [set up a team licence](/kb/article/set-up-a-team)).
Add a seat as in step 2 of [set up a team licence](/kb/article/set-up-a-team), or choose another plan in the row of a seat. KOSMA collects new seats and plan changes and carries them out only when you apply them. KOSMA marks a changed plan with \* and tints its row.
A new seat first fills a free seat you have already paid for, at no cost. If no seat is free, the number of seats grows, and you pay for the new seat for the rest of the term. KOSMA sends the invitation email when you apply the changes.
When a paid seat becomes free after a removal, the table shows a row **Free seat** with an email field. Enter an address and click **Assign**. KOSMA invites the person at once, with no need to click **Apply Changes**.
When you choose a higher plan for a seat, KOSMA shows below the button that applies the changes:
**Message:** The upgrade applies immediately. Today you only pay for the rest of the term until renewal.
When you choose a lower plan, the summary shows:
**Message:** Once you apply the changes, the downgrade is scheduled for {date}. Until then the paid plan stays in place. There is no credit.
Click **Apply Changes** below the summary. If the changes cost something today, the button reads **Apply Changes and Pay** followed by the amount. After you apply the changes, KOSMA shows:
**Message:** Changes applied.
After you apply a lower plan, the row shows → with the new plan and the date. To discard all collected changes instead, click **Cancel** below the button.
Click **Remove seat** in the person's row. KOSMA opens **Remove Seat** with two choices: **Cancel at end of term** and **Revoke access**. What the dialog says depends on whether the person has redeemed the seat.
For a seat that is still **Invited**, the dialog says:
**Message:** Either way you pay for the seat until the end of the term, without credit, and can reassign it at any time. No account is deleted, because this invitation was never redeemed.
For a seat that is **Active**, KOSMA deletes the person's KOSMA account with both choices: with **Revoke access** 7 days after you apply the change, with **Cancel at end of term** 7 days after the renewal.
For an **Active** seat, the dialog says:
**Message:** Either way you pay for the seat until the end of the term, without credit, and can reassign it at any time. Before deletion there are 7 days to transfer project admin rights and export data. Locally stored project files remain readable and exportable.
**Cancel at end of term** takes effect at once, with no need to click **Apply Changes**. The row shows **Cancelling**, and **Undo seat cancellation** appears in it. KOSMA drops a lower plan scheduled for the seat. At the renewal, you no longer pay for the seat. For an **Active** seat, the person falls back to Free, and the 7 days before KOSMA deletes the account begin.
**Revoke access** only marks the row with **Will be removed** and **Undo**. Click **Apply Changes** to carry it out. For an invited seat, KOSMA removes the seat at once, and nobody gets an email. For an active seat, the person falls back to Free at once and can no longer edit in the paid modules. The person keeps the KOSMA account for 7 days, gets an email, and gets a reminder on day 5. On day 7, KOSMA deletes the account. You receive an email saying that the person was removed.
During the 7 days, the address still belongs to your team, and no other team can invite it.
If a seat is already ending, **Revoke access** stays available in **Remove Seat**, and the dialog shows this message instead of **Cancel at end of term**:
**Message:** This seat already ends on {date}.
As the team admin, you change plans per seat on the **Team** tab. If you choose a lower plan on the **Subscription** tab, KOSMA shows:
**Message:** You run a team. Plans belong to the individual seat, so you change them in the Team area, not here. A lower plan takes effect there at the end of the paid term, and there is no credit.
