Budgeting
You can switch between the budgets of a project, see all of them in the Budgets Manager and tell from its columns who works on a budget, whether it is synchronised and why it is locked.
A project can hold several budgets, for example an approved version and a variant. You switch between them in the budget dropdown in Budgeting. The **Budgets Manager** lists every budget of the project with its state.
In Budgeting, open the budget dropdown and choose a budget. The dropdown lists your own budgets under **My Budgets** and budgets others share with you under **Budgets Shared With Me**. Templates are not listed, neither here nor in the **Budgets Manager**.
If the open budget has unsaved changes, KOSMA asks in **Unsaved changes** before it switches:
You have unsaved changes. Do you want to save them?
Click **Save** to keep the changes or **Don't Save** to discard them. Click **Cancel** to keep the current budget open.
A budget in the dropdown can show a dot for its server state or a lock reason. If two budgets have the same name, a short code tells them apart. A budget that is on the server but not on this computer shows this hint:

To copy the open budget, click  **Duplicate this budget** beside the dropdown (⌘⇧N on a Mac, Ctrl+Shift+N on Windows), as described in [duplicate a budget for comparison](/kb/article/duplicate-a-budget-for-comparison). In a project without a budget, the row shows only  **Budget**. It creates a budget, as described in [create a budget from a template](/kb/article/create-a-budget-from-a-template).
With a Free licence or an expired trial, **Manage Budgets** is greyed out, except in the demo project. You can still switch budgets in the dropdown.
In the budget dropdown, click **Manage Budgets**. KOSMA opens the **Budgets Manager**.
In the **Budgets Manager**,  **Budget** creates a new budget, and  **Help** opens KOSMIQ. With a Free licence or while you are signed out, **Budget** is greyed out. Point at it to see why.
**Update All** synchronises every budget that needs it in one click. It downloads newer versions from the server, uploads local changes and failed uploads, and opens the conflict dialog for a version conflict. When no budget needs this, **Update All** is greyed out.
Every change in the list takes effect at once. **Ok** and **Cancel** only close the dialog, and **Cancel** does not undo a change.
The list shows budgets in two groups: **Shared · live** for budgets that you share or that are shared with you, then **Only on this computer**. A group without budgets has no heading.

Until the server provides this information, **People** shows a dash. When you point at the dash, KOSMA shows:

For a budget you created, or one shared with you for editing, click the **Name** or **Comment** cell and type. Give each budget a name that says what sets it apart, for example *Approved 15-03* or *Without second unit*. Put anything longer in **Comment**. If another budget in the project already has the name, KOSMA shows:
Name must be unique.
To put the budgets in your own order, click the heading of the sorted column to clear the sort. Then drag a row by  **Drag to reorder**.
Point at a symbol in **Server** to see its state:

Point at  in **Related** to see the plans built on the budget. KOSMA lists each plan with its module (**Cashflow**, **Financing** or **Cost Control**), its name and its date. If KOSMA has not loaded the plans of this budget, it shows:

 in **Lock** means that you can read the budget but not edit it. Point at it, or double-click the row, to see the reason. For a budget linked to a cost control, KOSMA shows:
This budget is locked because it is linked to a Cost Control set. To make changes, create a copy.
For a budget someone shared with you for viewing only, KOSMA shows:
This dataset was shared with you and cannot be edited. To make changes, create a copy.
For a budget you share with edit access, KOSMA shows:
You cannot edit this dataset while editing access is shared. Stop sharing or create a copy.
A copy of a budget shared with you, or of a budget you share with edit access, is not locked. To make one, see [duplicate a budget for comparison](/kb/article/duplicate-a-budget-for-comparison). If you cannot edit because of your licence or because you are signed out, **Lock** stays empty, because this lock applies to the whole window. Each row has these controls:
-  **Open** opens the budget. -  **Share…** opens the sharing dialog for the budget, as described in [how sharing works](/kb/article/how-sharing-works). -  **Update from Server** synchronises the budget. It is greyed out when there is nothing to synchronise. -  **Duplicate** opens **Copy Budget** for the budget. -  **Delete** deletes the budget, see [Delete a budget](#delete-a-budget).
Click  **Delete** in the row of the budget. This works on a locked budget too. KOSMA asks in **Delete Budget**:
Are you sure you want to permanently delete "{name}"? This action cannot be undone.
If plans in other modules are built on the budget, KOSMA lists them in the dialog.
**Delete** deletes the budget and every plan listed with it. This cannot be undone.
Click **Delete** to delete, or **Cancel** to keep the budget. If you delete the open budget, KOSMA switches the window to another budget.
