Share & Print
You know what sharing a budget gives each person, how to give and remove access, and who edits a shared budget when.
When you share a budget, you share the whole budget file: the budget and every financing plan, cash flow plan and cost control set based on it. Click **Share…** in the left rail of any module. KOSMA opens the Share dialog, and its title names the budget, for example **Share Feature Film 2026**.
The dialog has one line for every other member of the project. You are not listed, so in a project you started on your own, the list is empty at first. As the project owner, click  **Guest** to invite the first person, see [add a guest to a project](/kb/article/add-a-guest-to-a-project).
The recipient only gets what has reached the server. If a budget has not reached the server, the **Budgets Manager** shows **Not uploaded** in its **Status** column. See [how your work is saved and synced](/kb/article/how-your-work-is-saved-and-synced).
Each line shows the person's name and email address, whether they have the budget open (**here now**, a time such as 20 min. ago, or **never opened it**), which modules they see and their access. Only the person who created the budget and the project owner can change access. Everyone else sees the access as text.

A person without access shows **No access**. Pick the access from the list on their line. To take access away from someone, pick **Remove**. KOSMA asks first:
Remove access for {name}? They stop receiving changes immediately and the budget disappears from their list.
Click **Remove Access** to confirm. Like every change in the dialog, the removal takes effect only when you click **Ok**. **Cancel** or Esc discards your changes. If someone else changed the access while you had the dialog open, KOSMA shows:
Someone changed access while you were editing. Nothing was saved.

Only one person can edit a shared budget at a time: whoever makes the first change. Everyone else, the project owner included, sees the budget read-only meanwhile. KOSMA shows them:
This budget is being edited by {name}. You can make changes when they are done.
Others can edit again when that person closes the budget, when they have changed nothing for 2 minutes and everything is saved, or when their connection drops.
Budgets others share with you appear in the budget dropdown under **Budgets Shared With Me**. In the left rail, **Shared with you** takes the place of **Share…**. When you point at it, KOSMA shows who shared the budget with you and when. You see the others' changes as soon as they are made, without saving or reloading.
If the project owner's account becomes inactive, the shared project is archived. You can still open it, view it and export it, but you cannot change it. Every editing control is disabled, the left rail says the project is archived, and the Project Manager shows **Archived** beside your role. Changes you made before it was archived stay on your device and are synced once the owner's account is active again.
You cannot share a budget on the Free plan. See [what your licence includes](/kb/article/what-your-licence-includes). The person you share with does not need one. On Free, they can read everything you share with them.
