Budgeting
You can move rows within their own level, copy, cut and paste rows up to a whole category, and you know why some drops are refused.
You move a budget row by dragging it. You copy rows to reuse a structure elsewhere, up to a whole category. When you drag a row, it stays at its own level: a group among groups, an account among accounts, a subaccount among subaccounts. You need a licence that covers Budgeting and a budget you can edit.
In the budget grid, you can drag groups, accounts and subaccounts. Drag a row by its cell in the **No.** column and drop it on another row. KOSMA shows a drop line where the row will go.
- A **group** dropped on another group of its category moves to that place in the category. - An **account** dropped on another account of its group moves to that place in the group. Dropped on another group or on an account in another group, it moves into that group. - A **subaccount** dropped on another subaccount of its account moves to that place under the account. Dropped on another account or on one of its subaccounts, it moves under that account.
For any other drop, KOSMA shows no drop line, and nothing happens. Dragging cannot change a row's level: an account cannot become a subaccount, and a subaccount cannot become an account. To have a row at another level, create a new row there, see [add groups and accounts](/kb/article/add-groups-and-accounts). If several rows are selected, only the row you drag moves. After the drop, KOSMA selects that row.
Dragging changes a row's place and the row it belongs to. Its number stays the same. To match the numbers to the new order, see [number accounts and groups](/kb/article/number-accounts-and-groups).
In the markups view, you can drag categories, markups and every subtotal row except the first to change their order. To open the markups view, see [add and edit markups](/kb/article/add-and-edit-markups).
Select the rows and press ⌘C (Ctrl+C), or right-click and choose the copy command. Its label depends on your selection: **Copy Selected Accounts**, **Copy Selected Subaccounts**, **Copy Selected Group** or **Copy Selected Category**, and **Copy Budget Rows** for any other selection. To move the rows instead, press ⌘X (Ctrl+X) or right-click and choose **Cut Budget Rows**.
KOSMA copies the selected rows. If no rows are selected, it copies the selected group with all its accounts and subaccounts. If no group is selected either, it copies the selected category with everything under it. To copy a whole category, select only the category.
When you paste into another budget, KOSMA overwrites every account there that has the same number as a copied account.
To paste, select where the rows go, then press ⌘V (Ctrl+V) or right-click and choose **Paste Budget Rows**. Accounts go after the selected account, or to the top of the selected group. To paste a group, select a category. Without a fitting selection, nothing happens. ⌘Z (Ctrl+Z) undoes the whole paste in one step.
The pasted rows get new numbers. If a pasted row has the same name as a row in the target group, KOSMA adds a number to the name: "Camera" becomes "Camera 2". The copy keeps its values, formulas, notes, companies, effects, tags, attachments, fringes, supplements, extra costs, taxes and DFFF, and gets a new cash flow rule of its own. Use this to build a repeating structure, for example a second camera crew modelled on the first.
An overwritten account takes the copied account's values, formulas, companies, effects and tags. Any other copied account becomes a new account. KOSMA takes the companies, tags, currencies, variables and phases that the formulas use from the other budget by name, or creates them there. KOSMA does not copy attachments into another budget. A formula with `ACCOUNT()` that refers to an account the other budget does not have finds no account there.
You can also paste lines copied from a spreadsheet such as Excel. Each line needs at least two columns. A line with a number becomes an account. A line without a number becomes a subaccount. KOSMA fills up to seven fields from the columns: number, name, quantity, unit, currency, price and factor.
KOSMA locks a budget for editing in these cases: your licence is **Free** or does not cover Budgeting, the budget was shared with you without editing access, it is linked to a cost control set, or you are not signed in. You then cannot drag rows or paste into the budget.
