Budgeting
You can build an alternate budget grid that shows your budget in the account structure of a funder, broadcaster or coproducer, with every account linked.
Funders, broadcasters and coproducers often ask for the budget in their own account structure. An alternate budget grid shows the figures of your budget in the structure of such a recipient, so you do not need a second budget. You need:
- a licence that lets you edit Budgeting - the budget open in Budgeting - permission to edit the budget
Without an internet connection, KOSMA saves the grid on this computer and syncs it when you are online again.
Open the print dialog for the budget, see [print a budget](/kb/article/print-a-budget). Open the dropdown that shows **Standard**. Under **Budget Grids**, it lists the grids of this budget. Under **Actions**, it offers **New Budget Grid** and **Edit Budget Grids**.
Choose **New Budget Grid**. KOSMA opens the **New Budget Grid** dialog.
In the name field, enter a name that identifies the recipient, for example the name of the funder. In the list, choose what the grid starts from: **Empty grid**, **Active Budget Grid** (the structure of your budget) or a grid that already exists in this budget. KOSMA never copies the account links (step 4), not even from an existing grid.
Click **Ok**. KOSMA creates the grid and opens it in **Alternate Budget Grids**. On the left, **Active Budget Grid** shows the accounts of your budget; you cannot change them here. On the right, **Alternate Budget Grid** holds the recipient's structure. Below both, **Markups** holds the markups of your budget and those of the recipient.
In **Alternate Budget Grid**, add the rows of the recipient's structure with  **Category**,  **Group**,  **Account** and  **Subtotal**. In **No.** and **Description**, give each row the number and the description the recipient uses.
To remove a row, select it and click  **Delete**. KOSMA asks:
Are you sure you want to delete the selected element?
If the recipient's structure has its own markups, add them under **Markups** with  **Markup** and  **Subtotal**.  **Delete** there removes the selected markup row.
Drag an account from **Active Budget Grid** onto the matching account in **Alternate Budget Grid**. KOSMA shows the link in **Linked Account** on the left and in **Budget Account(s)** on the right. The alternate grid takes its figures from the linked accounts, so you do not enter any figure twice. In **Markups**, you link the markups of your budget to the recipient's markups the same way.
If you drop an account on a category or a group, KOSMA does not link it. You can link up to 200 accounts of your budget to one account of the recipient. An account of your budget, however, can have only one link per grid. To change it, first remove it: click the cross  on the link in **Linked Account** or **Budget Account(s)**.
Every account of your budget needs a link. Categories, groups and subtotals do not. KOSMA marks an account without a link in **Linked Account** with a warning sign . When you hover over the sign, KOSMA shows:
This account is not yet matched to an alternate grid account.
As long as one account has no link, KOSMA also marks the heading of **Active Budget Grid** with a warning sign . Its tooltip reads:
Some accounts are not yet matched to an alternate grid account.
In **Markups**, KOSMA marks the markups without a link with the same warning sign . Like an account without a link, a markup without a link makes the grid incomplete. If you choose an incomplete grid in the print dialog, KOSMA does not print but opens **Alternate Budget Grids**. Click **Ok**. If every account and every markup is linked, KOSMA closes **Alternate Budget Grids** and lists the grid in the print dialog under **Budget Grids**. To discard everything you changed since you opened **Alternate Budget Grids**, click **Cancel** instead.
If an account or a markup still has no link, KOSMA shows:
The budget grid is not complete and cannot be printed. Make sure to match all accounts.
If you click **Cancel** in this message, KOSMA closes only the message. You are back in the grid and can link the remaining accounts. If you click **Ok**, KOSMA keeps the grid without the missing links. The grid then appears greyed out in the dropdown of the print dialog, but you can still choose it. KOSMA then opens it in **Alternate Budget Grids** again instead of printing.
In the dropdown of the print dialog, choose **Edit Budget Grids**. KOSMA lists the grids of this budget. To rename a grid, change its name in the list. Each grid needs a name that is unique in this budget. To change a grid's structure or links, click the pen  in its row. KOSMA opens the grid in **Alternate Budget Grids**.
Deleting a grid also deletes all its links.
To delete a grid, click  **Delete budget grid** in its row. KOSMA asks for confirmation. For a grid named ATL / BTL, it asks:
Are you sure you want to remove budget grid ATL / BTL?
**Print the budget in the grid's structure.** To print the budget with a finished grid, see [print a budget in another structure](/kb/article/print-a-budget-in-another-structure).
**Reuse the grids in the next production.** When you save the budget as a template, KOSMA saves its alternate grids with their structure and links. A budget you create from that template has the same grids, already linked. A copy of a budget has its own figures. As soon as you change one of the two budgets, they differ. An alternate grid always shows the figures of your budget.
Choose an alternate grid when a recipient needs the same budget in a different structure. Choose a copy when the recipient needs a different budget, for example with fewer shooting days or without a second unit. See [duplicate a budget for comparison](/kb/article/duplicate-a-budget-for-comparison).
With a Free licence, including after a trial has ended, you cannot print. You then cannot open the print dialog, where you build a grid.
In three other cases, the print dialog opens, but you can only choose grids that already exist. **New Budget Grid**, **Edit Budget Grids**, the toolbar and **Ok** in **Alternate Budget Grids** are then greyed out. When you hover over a greyed-out control, KOSMA shows the reason. If someone shared the budget with you for reading only, KOSMA shows:
This dataset was shared with you and cannot be edited. Ask its owner for editing rights.
If the budget is linked to a cost control set, KOSMA shows:
This budget is locked because it is linked to a Cost Control set. To make changes, create a copy.
If you are not signed in, KOSMA shows:
This dataset is read-only because you are not signed in. Log in again to make changes.
