Cost Control
You can let KOSMIQ read an invoice, check the cost items it drafts and book them into the open cost control set.
KOSMIQ, the assistant in KOSMA, reads an invoice you attach and drafts the cost items for it. You check the draft and book it yourself. To attach one by hand, see [attach an invoice to a cost item](/kb/article/attach-an-invoice-to-a-cost-item).
Open the cost control set to book into. In the project window, click **KOSMIQ**.
Click the paper clip and choose the invoice, or drag the file onto KOSMIQ. You do not need to type anything. KOSMIQ shows the card **Invoice detected** and below it the booking form, where you check the booking.
KOSMIQ proposes an account for each invoice line; for those it is unsure of, choose one under **Needs an answer**. The list offers the accounts of this cost control set; to add one, see [add an account to a set](/kb/article/add-an-account-to-a-set). To leave a line out, click **Don't book**.
Lines on one account become one cost item. If you put one line of a Tonwerk Rentals AG invoice on 6.03 Sound Package and two on 8.04 Re-recording Mixer & Mix Stage, the button reads **Book 2 cost items**. You can still change each cost item's account under **Will create**.
If the lines match neither the net amount nor the total of the invoice, KOSMIQ shows a note and you cannot book.
**Booking date** shows the invoice date. If KOSMIQ cannot read it, type it.
**VAT on this invoice** asks whether the invoice charges VAT. KOSMIQ answers it unless the figures on the invoice contradict each other. The Tonwerk Rentals invoice shows 19,260.00 net plus 1,560.06 VAT. With **Yes**, choose under **Book**:
- **Net** if you can reclaim the VAT: KOSMA books 19,260.00 with the **VAT rate** you choose from the budget's tax rates ([define taxes](/kb/article/define-taxes)). - **Gross** if you cannot: KOSMA books 20,820.06.
Under **Payment**, keep **Expected** for an unpaid invoice. For **Paid**, KOSMIQ fills in the **Pay date** when the invoice shows a payment; see [mark a cost item as paid](/kb/article/mark-a-cost-item-as-paid).
Click **Book {count} cost items**. The button stays grey until every line has an account or **Don't book** and **VAT on this invoice**, **Booking date** and, for **Paid**, **Pay date** are filled in; **Check before booking:** lists what is missing. **Discard** drops the draft.
Cost items booked on the same day share one tag, such as Import\_10/15/26. KOSMA opens the **Cost Items List** filtered on this tag; see [work with the cost item list](/kb/article/work-with-the-cost-item-list).
Each new cost item has the supplier and line texts as description, the invoice number as reference, the invoice as attachment, and a payment planned 30 days after the booking date ([plan against a cost control set](/kb/article/plan-against-a-cost-control-set)).
**If the invoice is already booked.** If the set already holds the invoice file, or a cost item with the same account, date and amount, KOSMIQ still drafts it, but when you book, it writes nothing and names the existing cost item. Edit it in cost control.
**If you are not in a cost control set.** In Budgeting, KOSMIQ offers to open the budget's cost control set: click **Do it**. If the budget has no set, see [create a cost control set](/kb/article/create-a-cost-control-set). If the set has no accounts yet, see [which accounts appear in cost control](/kb/article/which-accounts-appear-in-cost-control).
KOSMIQ reads PDF files and PNG, JPEG, WebP or TIFF images up to 10 MB.
- An e-invoice (a PDF with ZUGFeRD, Factur-X or XRechnung data) is read on your computer, also with AI answers off. - Any other PDF, a scan or a photo needs AI answers on, because KOSMIQ reads it with the AI service. A scan takes longer.
For the AI switch and what is sent, see [get help from inside KOSMA](/kb/article/get-help-from-inside-kosma). If KOSMIQ asks whether a file is an invoice, click **Read as invoice**.
