Budgeting
You can write a note on an account, delete it again and find the rows that have a note.
A note is free text of up to 500 characters on an account, a subaccount or a markup. In a note, you record why a number is what it is.
Click the row in the budget. In the **Account Details** panel, click  in the **Notes** panel, or click into the empty panel. KOSMA opens a text field. Type your note. KOSMA saves it while you type and shows how many of the 500 characters you have used.
When you copy a row, KOSMA copies its note with it, also when you paste the row into another budget. For copying rows, see [copy and reorder budget rows](/kb/article/copy-and-reorder-budget-rows).
The row shows the number. The note says where the number comes from:
- The assumption: *assumes two units for six days*. - The source: *per the quote of 14 March*, *2026 tariff*. - The uncertainty: *pending confirmation of the location fee*. - The decision: *reduced from 12 days after the schedule meeting*.
If you delete the note of an account, KOSMA also deletes the notes of all its subaccounts.
To delete a note, click  in the **Notes** panel. KOSMA deletes the note.
In the budget, the **Account Details** column shows a dot on every row that has a note. The dot appears only on the row that holds the note itself. To show only the rows with a note, filter the budget by the type **Note**, the operator **is not** and the value **empty**. With **is** and **empty**, KOSMA shows the rows without a note. A note holds text you write. An attachment holds a file, for example a quote. Attach the quote, and write in the note what you took from it. For attachments, see [attach files to accounts](/kb/article/attach-files-to-accounts).
You can read the note, but you cannot change it. When you point at a greyed-out control, KOSMA shows the reason. With a Free licence, including after a trial has ended:
This dataset is locked because your Free licence does not allow editing it. Upgrade your licence — or ask your team admin, if your licence comes from a team.
If someone shared the budget with you for reading only:
This dataset was shared with you and cannot be edited. To make changes, create a copy.
If the budget is linked to a cost control set:
This budget is locked because it is linked to a Cost Control set. To make changes, create a copy.
If you are not signed in:
This dataset is read-only because you are not signed in. Log in again to make changes.
